The Silesian Medical University (ŚUM) in Katowice is one of Poland’s leading medical universities, offering education for future doctors of various specialties, pharmacists and broadly defined medical personnel at five faculties located in Katowice-Ligota, Zabrze, Bytom and Sosnowiec, a branch in Bielsko-Biała and six teaching hospitals.

The university conducts teaching, scientific and clinical activities, has more than 270 departments, clinics, wards and divisions.

Challenge

Integration of hospital systems and optimization of medical data management

The aim of the project was to implement a business intelligence tool in the form of the AMCP Controlling Platform, which enables effective presentation and analysis of data from hospital systems (ERP and HIS). The implementation consisted of streamlining the management of medical facilities, optimizing costs and improving the quality of patient care. A key challenge was the integration with existing IT systems and ensuring real-time data updates. In addition, ŚUM was keen to monitor subsidiary facilities, for example, in terms of hospital bed occupancy and other parameters.

Solution

Implementation of AMCP Controlling Platform - modern data analysis for optimization of hospital management

The project included the launch of AMCP Management Dashboards with their configuration and user training. The implementation was carried out at the UCK Katowice and GCM Katowice hospitals in March 2023, with training in April 2023. A dedicated platform for hospital staff to monitor and analyze the entity from both statistical and billing and financial-administrative perspectives has been launched at each hospital, as well as a dedicated platform for the Silesian Medical University (ŚUM) analysts.

The implementation of AMCP Dashboards was aimed at designing and implementing a data presentation service in a business intelligence tool, based on information from hospital systems of medical entities. The system makes it possible to monitor key indicators related to the management of hospital business units, finances, implementation of NFZ contracts and analysis of treatment costs. With the implemented solutions, users can analyze data in a dynamic way, which significantly supports management decision-making.

The scope of the implementation included detailed analysis, development, delivery, installation and commissioning of the system and its components in accordance with the requirements set forth in the Terms of Reference. An important part of the implementation was the configuration of the system’s parameters, the implementation of analytical models and the customization of data presentation within the dashboards. The system has been integrated with HIS and ERP databases, enabling dynamic reporting. In addition, integration with the MS Active Directory service was carried out, ensuring uniform authorization of users.

Functional modules were also provided, offering key information for hospital management. The „JOS Indicators” module presents key indicators for the hospital’s business units, enabling analysis of hospitalization trends. „NFZ Contracts and Coverage” makes it possible to monitor the implementation of contracts with the NFZ, indicating the degree of utilization. The „JOS Billing” module focuses on the analysis of indicators of benefit delivery and service quality. „Entity finances” and „OPK finances” provide detailed information on the financial situation of the facility and its branches. The dashboards „KKL - Stays” and „KKL - Costs” allow the analysis of medical costs by JGP (Homogeneous Patient Group) units, diagnoses and attending physicians, but their full functionality depends on the implementation of the source system. „Financial ratios” present key data related to the financial condition of the treatment entity, in accordance with applicable legal regulations.

The implementation also included functional and load testing, system optimization and post-implementation documentation. Training for users and administrators was also an important part of the project, ensuring effective use of the new system. Trainings conducted by Asseco experts included both theoretical lectures and practical exercises, enabling participants to use the AMCP system on their own. A suitable IT environment, including a network environment, servers, and VPN access, was prepared for the implementation of the training, which enabled the participants to work efficiently and securely. Upon completion of the training, participants were provided with training recordings and educational materials, which allowed them to later consolidate the knowledge they had acquired on their own and made it easier to implement in their daily work with the system.

Asseco’s cooperation with the Silesian Medical University (ŚUM)

Asseco’s cooperation with ŚUM also includes educational activities. In 2017, a letter of intent was signed to establish a simulation computer lab. The main goal of the project was to enable students to gain practical skills in operating medical systems, which was expected to better prepare graduates for work in medical facilities. ŚUM, as the first university in Poland, has been granted access to Asseco Medical Management Solutions (AMMS) for teaching purposes, allowing students to learn on software used in hospitals on a daily basis. The project is being implemented as part of the Asseco for the Future initiative, which aims to support talent and promote education in the field of new technologies. As part of this project, Asseco is involved in various activities, such as sponsoring robotics teams and organizing meetings with industry experts. Thanks to such initiatives, Asseco actively contributes to the development of future generations and supports projects that have a positive impact on society and the environment. As part of its efforts to modernise education, ŚUM has also turned to virtual reality (VR) solutions in cooperation with Asseco Data Systems (a member of the Asseco Group). The university has launched special VR labs with software for learning human anatomy and Triage emergency procedures. The labs are equipped with computer stations with VR goggles, which enable virtual simulations to be conducted in an immersive 3D environment.
